Aon US and UK BPOS Deployment

The Challenge

The leading provider of risk management services, insurance and reinsurance brokerage and human capital and management consulting, this Illinois-based company of over 36,000 people and 2009 revenue of $7.6 billion, needed to migrate from an expensive, fragmented messaging and collaboration solution to one that was more strategic, agile, and integrated. Aon’s Lotus platform was costly to maintain and upgrade, and it was limiting the company's ability to collaborate globally. The solution needed to provide the company's staff with an enhanced user experience that was seamless from country to country, as well as enhanced archiving, search, and document management capabilities.

Our Approach

Aon engaged Slalom to provide program and project management services, which included:

  • Creating an effective stakeholder alignment process for business unit IT leaders
  • Using its BPOS implementation experience to leverage the Software as a Service model and consolidate Active Directory forests
  • Identifying and readying Lotus Notes databases around the world for decommissioning and migration
  • A complete testing, planning, and execution strategy for BPOS components, as well as other affected solutions such as BlackBerry, archiving, and fax transmissions.

The Results

Aon's BPOS deployment for the U.S. and the U.K. successfully:

  • Migrated more than 10,300 U.S. users and 2,100 U.K. users from Lotus Notes to Microsoft Exchange
  • Deployed the fully featured, cost effective Web-based version of Outlook to selected users
  • Deployed Live Meeting, Office Communicator, and SharePoint mySites and Team Sites to all newly migrated users
  • Created a training and communications portal
  • Established processes and templates for testing BPOS and future technologies, as well as best practices for remaining global deployments
